What types of notes or records do you keep about my counselling?

I keep records of your name and contact details so that I can keep in touch with you.

After a counselling session, I also make brief notes of what we discussed, but these notes are stored separately from your personal records. In addition, I do not use clients’ names, or any identifiable details, in the session notes, so that you cannot be recognised from them.

How are these notes stored?

All paper records are stored securely in a private locked room. Any records kept on computer are in password-protected files.

How long do you keep records of my counselling?

I keep records of my work for three years after your counselling ends, in accordance with good practice guidelines. Paper records will then be shredded and computer records deleted.

Will I be able to see the records of my counselling?

The Data Protection Act 1998 gives clients the right to access the records of their counselling, subject to certain safeguards. Please let me know if you wish to see your records at any time.

Do counsellors ever make audio or video recordings of counselling sessions, and how are these kept secure?

Some counsellors make audio recordings or even video recordings of sessions, as part of their continuing professional development, and as a way of monitoring the effectiveness of their work.

However, such recordings are only made with clients’ full informed consent, and clients have the right to ask for the recording to be stopped at any point.

I occasionally like to make audio recordings of sessions. However, I will always ask your permission to do this. You have the right to say no, or to ask to turn the recording off at any time during the work, and it will not affect our working relationship.

All recordings will be securely stored and then deleted after use.
